ZOOM PANEL MEETING RECORDING GUIDELINES FOR WTA - 2021 CONFERENCE
LIGHTING - Set up your space near natural light. If it’s not possible to find natural light, try to make sure there is light on you that is not overly direct, over exposed, or backlit.
FRIENDLY BACKGROUND - Find a background that is simple, like a white wall, if you plan to use a virtual background. Do not sit with your back to a window that can reflect too much light into the camera.”
NOISE - Minimize any noise from other people or even a nearby fan, TV set etc.
MICROPHONE - Use a good quality microphone or headset if possible.
NOTIFICATIONS - Disable desktop notifications for the duration of the event through ‘Focus Assist’ in Windows or ‘Do Not Disturb’ on Mac.
CAMERA - Use a High Definition (HD) camera for quality resolution.
KEEP YOUR CAMERA ON AS MUCH AS POSSIBLE AND MAKE SURE YOU LOOK INTO IT - Give the event participants the courtesy of seeing your face and being engaged. However, if there is a pressing need to step away to take a call or deal another distraction, ensure you turn off the camera.
MAKE SURE YOUR INTERNET CONNECTION IS STRONG - Think through any potential internet issues beforehand to avoid interruptions in the middle of the meeting.
MUTE YOURSELF IF YOU’RE NOT SPEAKING - Once you unmute to speak, and then finish, you should return to mute to avoid feedback, reverberations or echoes.
DRESS AS YOU WOULD FOR AN IN-PERSON EVENT - Appropriate attire should be considered.
TEST YOUR TECH BEFOREHAND - Arrive at the meeting early, to troubleshoot any problems with the meeting tool like testing the video, audio and background under the assistant of the host or the technical person. For those who'll be presenting, check your presentation to make sure there aren’t any glitches and errors.
PROTECT YOUR SENSITIVE INFORMATION - If you are sharing your screen while presenting to the other attendees, make sure you are only showing the intended information. Close unnecessary tabs prior to launching the video conference app. Choose to share only one screen, tab or app instead of sharing your entire desktop.
BE ON TIME - Since the sessions are strictly timed, ensure that you join the session 20 minutes before start time and have your computer properly placed and background and lighting set, and you are seated, centered, calm and ready to participate.
